Storage for Employees and Students and Their Use

Maximum File Size:
Defined as the size of files you can upload, does not indicate the storage space available.
- Small Files: Small files typically have sizes in the range of kilobytes to a few megabytes. Examples include text documents, presentations, or small images.
- Medium-sized Files: Medium-sized files typically range from a few megabytes to tens of gigabytes. Examples include videos in standard resolution, extensive documents with images, or large data tables.
- Large Files: Large files usually have sizes in the range of tens of gigabytes to terabytes. Examples include high-resolution videos, extensive datasets, or disk images.
- Very Large Files: Very large files represent extremely voluminous data, reaching sizes of terabytes to petabytes. Examples include extensive datasets from scientific experiments, high-resolution video recordings, or genetic sequences.
Physical Storage
Data Categories:
PUBLIC DATA. For
other types
strongly
recommend encryption.
Data Types: Archiving and infrequently used data,
backups.
Maximum File Size: Large files.
Storage Capacity:
Depends on the purchased media.
Description and Recommendation: Not recommended for storing "live" data
(continuously updated). They can be used for
(offline) secondary storage of backup copies of data that are
primarily
stored elsewhere. Prone to physical damage and wear,
limited lifespan.
Data Sharing: Difficult to share data with others -
possible
only "hand to hand." We recommend using university network
or cloud storage instead.
Backup: User's responsibility. It is advisable
to have data
backed up in another location.
Sensitive Data: Do not store sensitive data.

Storage Capacity:
Storage size depends on the financial resources of the research/project.
Description and Recommendation: Network disk of the server
(or the entire server) is physically located where requested (at OIT or
the faculty). Storage may also be provided in the form of virtual
space on
existing units. OIT provides professional consultations
before
procurement, discussing your requirements and
financing.
OIT
can either directly manage server disks or train a selected staff
member
to manage them. This is an OIT service, so it is
paid!
Setting up and operating your own server is costly in terms of
administration. We recommend using OIT services.
Usage Conditions: Official request and approval
after
consultation. In the case of a private server (extreme case), the space
for
server placement must meet the technical parameters of the manufacturer.
Data Sharing: Access to individuals (even outside the university) is
defined
during consultation and is set by OIT.
Backup: Managed by OIT, unless
otherwise agreed.
Sensitive Data: If connected only to the MENDELU network,
there is no need for increased
security
even
for sensitive data.

Description and Recommendation: Personal disk for university staff and students. Allows connecting one central disk from the university space or remotely and using it for centralized storage of files and documents. It includes a public folder html (personal web pages). We recommend creating structured folders and directories for organizing this data.
Usage Conditions: UIS Account.
Data Sharing: Access can be set within the university to other staff/students. Access to individuals outside the university is not possible.
Backup: 3 times a week; OI.
Sensitive Data: MENDELU Disk is accessible to everyone within the MENDELU internal network for reading, so we recommend NOT STORING sensitive data.

Storage Capacity: Storage size can be negotiated with OIT.
Description and Recommendation: Data storage for project pages.
Usage Conditions: First, request the creation of project pages from OIT.
Data Sharing: Access to individuals outside the university can be set according to individual needs based on a request to OIT.
Backup: 4 times a week; OI.
Guides and Contact:
- When requesting infrastructure for a project and creating new project pages (in Czech): Infrastructure Request and site operation request.
- Request for the establishment of a project WWW page within the university domain (projectName.mendelu.cz) is submitted by the relevant project or conference guarantor to be approved by the rector or quaestor. Then passed to the Chancellery for comment. Implementation is done by the university webmaster.
- Directive 2/2013 for publishing and sending information electronically in the environment of the Mendel University in Brno computer network and the Internet

- Remote access: VPN, WinSCP (use the address in the form of fix.mendelu.cz instead of the address in the guide).
- Setting access restrictions: UIS -> Science Research -> Researcher's Log -> project -> the project manager can edit the project members and their permissions here.
- Resource request (increase size): UIS -> Science Research -> Researcher's Log -> project -> Resource -> submit a request.
Data Categories:

Maximum File Size: Small files. Maximum
20 MB per attachment.
Storage Capacity: Storage size can be negotiated with OIT.
Description and Recommendation: Server with a public and private folder on the Document Server in UIS. For small-volume files.
Usage Conditions: Request to OIT to create a folder (under the workplace) on the Document Server in UIS and allocate rights to this folder. UIS account, rights to add files, training in UIS.
Data Sharing: We recommend only for MENDELU users.
Backup: Provided by OIT.
Sensitive Data: Sensitive data can be stored.

Cloud Solution (Contractual)
Data Categories: PUBLIC,

Maximum File Size: Large files. Up to 250 GB/file; archive size
20
GB.
Storage Capacity:
1 TB per user (cannot be increased).
Description and Recommendation:
O365 service users have access to OneDrive
for
Business cloud storage.
We recommend encrypting sensitive data here.
Usage Conditions:
O365 work/school email within MENDELU.
Data Sharing: Specific files or folders can be shared with anyone using links. The link can be configured with a level of permission (access).
Backup: Microsoft
Sensitive Data: Yes, but encrypt.

Description and Recommendation:
SharePoint Online service provides an integrated location for
employees to collaborate with other team members.
NOT SUITABLE
for personal data such as movies, series, etc.
We recommend encrypting sensitive data here.
Usage Conditions:
Request to OIT, O365 work/school email within MENDELU.
Data Sharing: Anyone can be shared with using links. The administrator sets access for specific individuals using the link.
Backup: Microsoft
Sensitive Data: Yes, but encrypt.

Description and Recommendation: OwnCloud
service is intended for individual users. It allows automatic
synchronization
of data between various computers and mobile devices of the user. Data
are
also accessible via a web interface. Data storage within the CESNET
e-infrastructure in the territory of the Czech Republic.
Usage Conditions: For students and employees
of
MENDELU
(=organization connected to the CESNET e-infrastructure). Account of
the
organization participating in the eduID.cz identity federation (i.e.
an
account in UIS).
Data Sharing: It is possible to share with
users,
a group, or publicly using links.
Backup: CESNET
Sensitive Data: Yes, but encrypt.

- The service is accessible through the web interface after verification via the eduID.cz identity federation (login to UIS).
- Through the web interface, files can be uploaded for a maximum of 4 hours. If you upload a file via the desktop client, this limitation does not apply.

Storage Capacity: 500 GB per file.
Description and Recommendation: FileSender is a web service for
one-time transfer (temporary storage) of large files, provided by
CESNET.
File storage is maximum
for a month, then it is automatically deleted! It can also be
set for a shorter deletion period.
Usage Conditions: For students and employees
of
MENDELU
(=organization connected to the CESNET e-infrastructure). Account of
the
organization participating in the eduID.cz identity federation (i.e.
an
account in UIS).
Data Sharing: Using a link.
Backup: CESNET
Sensitive Data: It is possible to transfer
sensitive
data; we recommend encryption.
Guides and Contact:
- The service is accessible from the web interface after verification via the eduID.cz identity federation.
- Recipients will receive an email with a link to download the file.
- If you need to receive a file from someone who does not have identity federation, you can create an invitation in FileSender after logging in. The second person will receive a web link to upload the file. You will then receive a link by email to download the file.

Cloud Solution (External) - NOT RECOMMENDED
Data Categories: PUBLIC,
INTERNAL, DISCREET
and SENSITIVE

Maximum File Size: Large files.
Storage Capacity: Basic 15 GB/account (= for your
emails,
documents, photos).
Description and Recommendation: A solution for research data
NOT RECOMMENDED,
as data is provided to a third party upon upload. Private space for
storing and sharing data without a contract with
MENDELU,
in case of misuse, the university cannot assist you.
Usage Conditions: Google account.
Data Sharing: Using a link.
Backup: Google
Sensitive Data: Do not store sensitive data here.

Data Encryption

Note that in case of losing the key to encrypted files, the university cannot assist in decryption!
